Main rules – can’t dedicate faculty
time for contact with students, can’t give actual text of questions

SGA Minutes
11/20/2013
Welcome
- Committee
Reports
- UMSC Meeting Debriefing
i.
Danny
reported the 2 main issues were discussed
1.
M3/M4s
– Should they renew Up To Date and DynaMed?
a.
Currently
costs $30,000 a year just to have these resources at the school (this is not
discussing at OSF) but they are going to start making the resources available
on phones and computers and the price will increase up to $200,000. Do we keep
both? Only keep one? Send out survey about student
usage of resources
2.
M2 –
the new grading system
a.
There
have been problems from campuses implementing the new grading system of the
MPL. (Instead of a certain pass %, all course coordinators vote on what each
question is worth and what a “minimally competent med student” would know.
Peoria already does this; it’s the other campuses that are having problems).
Students don’t like not knowing MPL before the test. Also, student reported
problems of what we are actually supposed to be learning. The learning
objectives are the same for all 4 campuses, but each campus has its own
learning tasks. This makes studying confusing.
b.
Also
was discussion about the library renovations in Urbana, and potentially a new
location for MSB in Urbana
- Treasurer’s

monthly meetings and report back to us
- M2s-What’s
Next?” to be held on 1/13 12:30-1:30p

ii.
Dean

With Dean Azar on 10/16- Recap

Dean Azar not as specific as students

It was not a structured presentation
4.
Future: Be more specific with what we
want and tell Dean Azar

- Dean’s Mailbox letter/ Dean Aiyer and Dr. Aldag
i.
Background
1.
Research Day started because of feedback from students asking
for more involvement of students to present their research
2.
Orientation given to students a month after M2 orientation to
introduce various research opportunities available
3.
This is the first time we’re doing Student Research Day –
hope that it will grow – just starting with students right now and eventually
reach out to subsequent campuses
4.
On the other side, James Scholar Projects (not unique to
Peoria) – offered to top 1/3 of class with the intent to end up with senior
year project presentations
5.
Since this is the first year, faculty thought to combine the
two presentations because it is all student research – done in discussion with
group
6.
James Scholar Program hasn’t changed much over the last few
years – they have financial support for students in Rockford which we don’t
have, but we have allowed students an advantage in the lottery
7.
2 issues – What are the student needs? Are we hurting the
students in a negative way?
ii.
Opinions
1.
Students don’t understand that the lottery is selective
towards James Scholars because they need time during the 4th year to
do their research
2.
But why should the 3rd year schedule be affected
by time needed to be set aside during 4th year?
3.
What about the students not in James Scholar doing research?
Are they automatically at a disadvantage?
4.
Question remains – what are we doing to support student and
how are we helping students interested in research to do what they want to do?
5.
What additional resources do we need to promote student
research?
6.
Lottery done 3rd year to move out a rotation
completely – especially when family medicine was 4 weeks à family medicine would get moved into 4th year
schedule
7.
Original James Scholar documents envisioned a special track
in medical school that incorporated research that did have an honors quality to
it
a.
Criteria to be admitted and criteria to be met in order to
graduate
b.
If you start a research project on your own and it doesn’t
work out, there are no repercussions
c.
If we’re going to give this designation and require a higher
level, which is an honor, we need to make some accommodations in their schedule
8.
James Scholar students are monitored – different from other
students doing research – some students sign up and don’t follow through on
time
9.
Recommendation – select rotations early for only 4th
year
10. It’s impossible for everyone
to get the 4th year what they want – it will still be impossible
with or without James Scholar’s picking first and James Scholars are used as a
scapegoat
11. BUT, you do have a decreased
chance to get what you want if the James Scholars are taking up a few seats in
the Sub-I that you want, for example
12. Why have we heard so much of
this in the last 3 years? Residencies are far more competitive today. More
people are James Scholars now too – we did not used to have 6 or 7 – we used to
have 1 or 2
a.
The rigor of the projects today are very rigorous
b.
That is not to demean the others doing research
c.
They did not ask to get the lottery positions but it is
tradition
d.
Hard to come up with something fair for everyone
13. What are we going to do with
the rising interest in research? It is hard to get faculty outside of James
Scholars that are very interested in providing research
a.
Most of these projects are done out of the department or
student’s own research – not funded unfortunately
b.
As we go forward, perhaps we can find ways to provide funding
for students
c.
Will not be an add on to present faculty, and will be
expensive
d.
There is no intent to second class anybody
14. Should we consider offering
James Scholar at the end of M2 year?
15. The issue remains about how
better to run the M4 lottery
16. Summarize letter to send to
students
17. James Scholar needs to be
brought up M1 year to inform students that the program exists and what perks
are associated with it

i.
President
of UIC M1 class emailed Oluchi and other student government presidents (Urbana,
Rockford) because they would like to foster a better relationship between all 4
campuses
ii.
e.g.
Winter charity ball (January-February time) – would be better in Chicago
according to them because of the larger student group

national level, UMSC reps are working on finalizations for paperwork
- Increase Peoria UMSC
representation for next year’s election
i.
Many current
members are graduating
ii.
M2’s
and M3’s should all urge their classmates (especially people who would be good
at this) to try and join
iii.
Since
the meeting was in Peoria, it would be nice to have more people run it
- Leadership Certificate Program Update – Ganesh
i.
3

ii.
Balance

iii.
HPSC
would like us to log our expenses in their spread sheet from now on
- Student Research Day
- Chris has met with a few people (Dr.
Hafner, Dr. Aiyer, Dr. Baldwin) to get it off the ground
- Initial submissions were only from 11-12
people
- Unsure if it’s because interest isn’t there
but it’s the first time, so we can learn from feedback for next year
- Chris will schedule a meeting with the
different campuses and try and put together a report
- For next year: put together a contact list
of the different departments and have the research talk in the beginning
of the year and also mid-year to give out the contact list so students
have direct access to the residency coordinators – we are lacking
communication more than we are lacking research
- Try and email out asking current students
if they have done research (and with whom) to put on the SGA blog for
students interested in pursuing research
- Idea for Research Day: email M2’s asking if
whoever did research over the summer would like to present it with a
poster
- Old

the award – the top 5 candidates will be put in to a Survey Monkey – remember
to include that they may also be the same people who will hood you at M4
convocation
ii.
This
process will now be done at the end of the year instead of right now
- Golden
Apple Selection Process
i.
Should
voting be done at the end of M4 year or every year in February-March?
ii.
Idea
brought up to vote at the end of the year instead of in February-March to allow
the GI/heme and endo/repro faculty members to be a part of the ballot
iii.
M2
nominations during M3 orientation week and the M3 nominations during M4 with
online SGA voting
- Non-faculty
Convocation speaker (U.S. Secretary of Transportation Ray LaHood)
i.
Media
said it would be nice to have a famous speaker at Convocation
ii.
Was
brought up at a time that M4’s were voting for a faculty speaker – idea for
non-faculty speaker did not move any further because of this, but is an option
for next year
iii.
Many
speakers charge lots of money, however
iv.
Leave
the idea open for years to come
v.
Ask
the Golden Apple winners to be on stage for hooding? Have them work in shifts

i.
Dean

- Convocation
updates
i.
We
looked at some samples of convocation gowns
ii.
Biggest
expenses are the renting of the caps and gowns, providing people with
invitations (up to 10 a person), production of convocation booklet, class
composite for wall in building, reception after convocation
iii.
Can
download prints online from a website – by streamlining photography things, we
will save $8-900 a year
iv.
Nicer
caps (tams) cost $10-15 dollars more than the original caps
1.
But
you need to size the nicer caps
2.
Students
don’t get to keep the nicer caps like they would the original caps
3.
If
going with the nicer caps, students will be distinct from the faculty
- Community

i.
LCME Surveys
1.
Were
sent out to the M2’s and M3’s
2.
We
need more M3 input
3.
Goal:
105 for Peoria
(we got 92)
4.
Next
survey due on October 30th- has a PowerPoint with the highlighted
answers to the questions- there are actual correct questions (unlike the last
one that just had opinions)
a.
We
will say in email “please pay attention to these slides”
b.
Doesn’t
take long to look at the PowerPoint
c.
Will
again be an M2/M3 survey
d.
They
will be allowed to find the answers in the group- we just cannot blatantly give
them the answers
e.
The
purpose is that everyone knows the policies that are in place
f.
Two
$50 gift certificates from Amazon given out randomly to survey takers
ii.
UMSC class reps report
1.
Chris
in favor of keeping the research night
2.
Dissatisfaction
seen across some of the campuses- working on the feedback received to improve
upon the next one
3.
Our
college- Chris is meeting with Dr. Aiyer on the 19th to discuss the
long-term goal of research
4.
Will
be difficult to unify the structure of research night across all campuses
5.
He
will update us on the October 19th meeting
iii.
Leadership Certificate Program
1.
Started by Chicago campus but it didn’t make it to the other campuses
for the past 6-7 years, but for the past two years, the Rockford campus started having it
2.
2 years ago, Peoria had a good interest
of 35-40 people, but a lot of people couldn’t complete the paperwork (needed
signatures from people at events)
3.
Last year, not many
were interested, so we are at a standstill for the program right now
4.
If we had a
position where someone was elected, maybe they will take it more seriously and
feel like it’s important to do – for next year’s class, we can put it on the
ballot as a new position for election
5.
It’s still nice to
have the event on campus even for people that are not in the leadership
certificate program – bridges the community together
6.
What should we
do??? Elect a new position on the end of the year ballot for this program or
have current students volunteer to take charge for next year?
7.
Is it sustainable
cost wise to continue the program? 35-40 people started off in the program
initially, but only 4 people completed all the requirements
a.
But there were 8-9
people that did show up to the retreat, so we may want to consider
sustainability in terms of the number of people that show up for event
b.
Voting- RESULT:
we will be continuing the program, and we will do it this year
i.
We need one M2 and
one M3 to volunteer to lead the program for this year so that every year, there
is one student that has been a part of it before and one student to continue it
for next year
ii.
Ganesh volunteers
for the M3 class
iii.
Amara will come in
to talk to the M2 class about it on Friday
iv.
